Job Description Bryant & Stratton College is seeking a Dean of Student Services for our Online Campus, located in Orchard Park, NY. This is not a virtual position. The Dean of Student Services manages the day-to-day operations of the department including supervisors and staff for Academic Success Coaches, Academic Advisors, & Registrar’s Office by coaching and developing managers. In addition, this position includes overseeing the performance management of Student Services associates to assure that retention and persistence to graduation objectives are achieved while monitoring performance metrics, assessing and implementing strategies to deliver on set outcomes and identify new areas of improvement, while ensuring that policies and procedures are compliant. Responsibilities: Team Management: Oversee the overall staffing and performance management of the department. Responsible for providing sufficient staff coverage in order to service both students & internal departments; the professional development of all staff including managers & associates; conducting consistent coaching with the management team (individual & group), as well as observing coaching meeting with managers; planning for the future growth of the Student Services department by identifying the human capital, processes, and technology to support the Strategic Plan objectives; conducting weekly team meetings; and managing the overall performance management process including: 3 & 6 month probationary reviews, annual performance reviews, and general human resources protocol. Implements contact center philosophies to manage staff and service students. Reporting & Analytics: Responsible for ensuring the accurate and timely reporting of metrics in CRM and Banner. Measure performance metrics in retention for the department and individual associates to meet or exceed the College’s retention and persistence to graduation objectives. Track measurements including but not limited to: new student readiness calls, with-in-term retention, attendance, registration activities, SAP dismissals, never attends, student appeals, & student interaction at the team and individual associate levels. Coaching & Advisement of Students: Ensures the process within Academic Coaching and Advisement runs smoothly in order to provide a high level of service to the College’s online students while adhering to the College’s philosophies of advising. Maintains appropriate staff to student ratios. Develops and maintains processes to ensure all students are contacted throughout the current semester, classroom activity expectations of Academic Coaches are met, and students are properly advised. Responsible for coordinating accurate student processing of withdrawals while counseling students on their options. Addresses escalated student concerns. Uses call observations and phone reporting metrics to look for opportunities of improvement to better service students. Scheduling & Registration: Responsible for coordinating the Success Coaches, Academic Advisors, and Registrar’s Office to project future course needs while overseeing the process and activities related to students accepting their schedule, registering the students in Banner, and coordinating with the Financial Aid Department. Supervise the scheduling and registration process, including but are not limited to: accurate preparation of program sheets; editing and rescheduling of students when needed; future planning of courses; accurate projection of future graduates; communicating schedules to students; tracking of accepted schedules and registration within Banner; monitoring of students cleared through financial aid; contacting never attends; and running Official Student Numbers. Administrative Duties: Provides oversight and process improvement to the various administrative duties required including: timely and accurate reporting on student attendance; Banner data entry; updating Advise CRM; ongoing development of communications plans; coordinate enhancements to Advise CRM; graduation; SAP calculations; academic plans; student success contracts; official and administrative withdrawals; and At-Risk student observations. Requirements / Qualifications & Position Requirements: Master’s degree required from a regionally accredited institution 5 or more years of increasing responsibility in student services (7-10 years preferred) Previous experience within an online education environment preferred Demonstrated ability to manage teams of 25 or more staff Relocation package available for qualified candidate.
