PURPOSE:This position is responsible for supporting Department of Education's satellite location in Brooklyn (and other future locations) while working on the Main Campus in Amherst New York. DUTIES AND RESPONSIBILITIES:Provide administrative support to the Department of Education at its current satellite location in Brooklyn, and at other future locations.Overall support will include the following responsibilities: Maintain File Server Space (FSS) for each teacher candidate in the off-site programCreate physical files for each teacher candidate, maintain each teacher candidate's file for the duration of the program and for future referenceCreate master lists of cohorts; teacher candidate contact information and program option master lists Submit incomplete grade changes, address changes and name changes to the Registrar's OfficeReview undergraduate transcripts and, in consultation with Director of Alternate Certification Programs, complete forms for all incoming candidates categorizing their liberal arts undergraduate coursesNotify teacher candidates of missing credit hours in mathematical processes (6 credit hours), scientific processes (6 credit hours), or concepts in historical and social sciences (6 credit hours)Notify teacher candidates of GPA, GRE and Dispositional Interview score statusWork with the Registrar's Office to clear candidates for graduationOrganize mailings to all teacher candidates in the off-campus program, eg conditional acceptance letters, periodic reminder letters, letters outlining process for applying for certification, letters outlining process for graduating, letters informing teacher candidates of changes to the certification process, etc.Deliver and collect mail for Director of Alternate Certification Programs and the office from the Mail Room in Duns Scotus HallCollect workshop-training certificates for all teacher candidates (eg DASA, Child Abuse, and Project SAVE). Submit workshop certificates to NYS Office of Teaching Initiatives to be posted on the candidate's TEACH accountAssist individual teacher candidates with TEACH accountsVerify completion of certification requirements using Elucian ColleagueAs a NYSDOE Certification Officer, recommend individual teacher candidates for appropriate NYS teaching certification, by program optionProvide extensive support, problem solving and follow-up via the phone and email to teacher candidates Coordinate the provision of teacher candidate ID's through Daemen's Student Affairs OfficePrepare workloads for submission to payroll to ensure faculty in the off-campus are paid;Handle all purchase orders for off-campus faculty and maintain a log of all requisitions and purchasesCollaborate with Dr. Fox on budget management for the off-campus programOrder office supplies. Coordinate Print Shop orders for stationary and copy paperReconcile Director of Alternate Certification Programs credit card statement each month. Submit receipts and required forms to the Business Office.Obtain and schedule work-study students. Provide training and supervise work assignments. SUPERVISION OF EMPLOYEES:Work-study students only. EDUCATION:A.A.S./BS/BA degree and 3-5 years of relevant experience. EXPERIENCE:The incumbent will possess excellent phone skills and will be able to communicate and interact professionally with internal and external constituencies at all levels. This role will require excellent time management skills and demonstrated multi-tasking skills as responsibilities will shift in order to support dynamic needs and achievement of the Education Department's mission. REQUIRED COMPETENCIES:Self-motivated and able to work independentlyEnjoys working with a teamStrong proficiency in Microsoft Office applications. Must be able to coordinate mail merges, design spreadsheets, and utilize Microsoft Access databases.Excellent customer service and phone skillsEffective organization and troubleshooting competenciesAble to set priorities and multitask Prior knowledge of basic office equipment, including a personal computer and proficiency in Microsoft Word and Excel.
